These Terms & Conditions serve as a general guideline and may not be applicable in every situation. Our travel consultants will provide personalized assistance based on the Cut-Off Date (COD) from service providers, offering a more reliable approach than online booking platforms.

If you choose to book accommodations, cruises, transportation, or other services online, please be aware of the following risks:

• Incorrect room details
• Reservation confirmed, but no availability upon arrival
• Payment issues, such as duplicate charges on your card
• Unclear cancellation policies
• Difficulty contacting customer support when issues arise
• Potential exposure of credit card and personal information
• Unexpected room cancellations
• Risk of scams from fraudulent online platforms

1. Methods of Payment

Full payment must be received no later than 30 days prior to the passengers' arrival. We currently offer three payment methods:

Online Payment with One PAY:

At this stage, we accept most major cards with the below service fee.

• Visa, MasterCard, and JCB Card are accepted with a 3.85% service fee
• AMEX is accepted with a 4.5% service fee for payment in US$ or 3.85% for payment in Vietnam Dong (VND).

We connect with OnePAY Payment Gateway to accept Online Card Payments (www.onepay.vn). All of your card information is processed through the SSL protocol with an international card security standard. Your card information will not be stored in our system (Merchant).

After you have received the Invoice Payment Link, please check the information on the Invoice. If all the information is correct, please check the Terms and Conditions click, I agree with Terms and Conditions and click Submit or Book.

You will be redirected to OnePAY Payment Gateway to pay us online with Visa, MasterCard, American Express, and JCB Card with the following steps:
Input Card information: The URL (Uniform Resource Locator) will begin with https://onepay.vn/… To make the payment, you will input the following card information:

• Card Number
• Expiration Date
• CSC (Card Security Code – CVV, CVC)
• Billing address (Card holder’s address which has been registered with the Issuer Bank)

Click “PAY”
Online payment password (If you have enrolled 3D- Secure Program for your card with the Issuer Bank namely Verified by Visa for Visa card, MasterCard Secure Code for MasterCard, and J- Secure for JCB Card ).

Viet Vision Holdings will draw USD from your credit card. That amount is normally shown on your credit card. (2.5% of the amount will be charged as a bank fee)

Viet Vision Holdings currently quotes tour prices in US Dollars on our website as well as customized tour costs and quotes in USD to you at the time when you are making bookings.

2. Cancellation & Refunds

We would deeply regret it if you can’t travel as planned and have to cancel the trip with us. In this case, the Cancellation fee will be calculated as follows:

The cancellation fee will be calculated as follows:

• More than 40 days before trip departure: 10% of the deposit paid is non-refundable. This will be saved for your next trip with us. The rest of the deposit paid will be refunded (bank fee levied by your end)
• 40 – 30 days before trip departure: 35% charge of the deposit paid
• 29 – 15 days: 50% charge of the deposit paid
• 14 – 10 days: 75% charge of the total booking value
• Less than 10 days or No show: 100% charge of the total booking value

After the trip has commenced, we are unable to refund any amount for unused services due to your willingness, early departure, late arrival, or missed days on tours.

3. Travel Documentation

All clients are required to possess a valid passport and any necessary visas or permits before the start of their journey. It is the client’s sole responsibility to ensure all required travel documents are in order. Upon request, your travel advisor may assist with the application process. Viet Vision MICE bears no responsibility or liability for any issues arising from a client's failure to obtain the necessary documentation.

4. Health Requirements

Clients should be aware of international travel risks and ensure they understand the health requirements for their intended destinations. It is the client’s sole responsibility to verify the safety and security conditions, vaccination requirements, and other health regulations set by the governments of the countries they plan to visit or transit through.

5. Luggage Allowance

According to the Department of Civil Aviation (DCA) regulations, the free baggage allowance for domestic flights within Vietnam is as follows:

• Economy Class: 20kg
• Business Class: 30kg
• First Class: 40kg
• Carry-on luggage: Limited, as per airline policy

Any excess baggage fees are the sole responsibility of the client. Additionally, Vietnamese regulations require that all suitcases must have a locking device attached. Failure to comply may result in airport staff refusing to load the luggage onto the aircraft.

Note: The above baggage allowance does not apply to budget airlines.

6. Insurance

Viet Vision MICE’s tour packages do not include Vietnam Life Tourist Accident/Casualty Insurance, and no form of insurance is covered in our packages or customized excursions. We strongly recommend that clients obtain comprehensive travel insurance from their country of origin before their trip.

7. Complaints and Claims

If you are dissatisfied with any service provided by Viet Vision MICE, please inform your local tour guide or travel advisor immediately to help prevent similar issues during your trip.

For any complaints or compensation claims, you must notify us in writing via email, regular mail, or fax within 15 days after your tour ends. Your claim must include relevant receipts and supporting evidence. Viet Vision MICE will not be responsible for any claims submitted beyond this 15-day period.

8. Communications

If you do not receive a response regarding your tour status within 48 hours after submitting a request for booking, modification, or cancellation, please reach out to our customer service center at Contact form immediately to ensure your inquiry is handled in accordance with our Terms and Conditions.

9. Liability & Responsibility

• Viet Vision MICE provides tour information and booking services for Vietnam tours, sourcing travel details and services from carefully selected hotels, airlines, and tour operators. However, we are not responsible for any errors, omissions, or inaccuracies in information provided by third-party suppliers.
• Viet Vision MICE is not liable for any negligence, fraud, itinerary changes, cancellations, or equipment failures caused by independent service providers or any other parties not directly owned or controlled by us.
• We are also not responsible for any loss, injury, or damage to persons or property, as well as itinerary modifications or cancellations resulting from circumstances beyond our control. These may include but are not limited to weather conditions, fires, mechanical failures, government actions, wars (declared or undeclared), civil disturbances, strikes, theft, epidemics, quarantines, customs or medical regulations, terrorist activities, or other unforeseen events. Additionally, we do not assume liability for any extra costs incurred by travelers due to these circumstances.
• Clients are solely responsible for complying with customs regulations, and Viet Vision MICE is not liable for the theft or loss of personal belongings due to customer negligence.
• We reserve the right to substitute hotels, flights, or cruises, alter itineraries, or cancel tours before departure. If a tour is canceled before it begins, Viet Vision MICE will issue a full refund of any payments received from the client.
• Many of our tour packages involve activities that require caution, such as boarding boats, climbing hills, or entering tombs and caves. While our representatives will provide guidance and assistance, participation in these activities is at the client’s own risk. Viet Vision MICE, its employees, and agents are not responsible for any incidents occurring after they have taken reasonable precautions and provided necessary instructions.
• We reserve the right to amend or revoke these terms and conditions, in whole or in part, at any time with or without prior notice.

10. Modification or Discontinuance of Service

Viet Vision MICE reserves the right to modify or terminate services for clients who engage in illegal or inappropriate behavior toward its employees or agents. This includes conduct that is obscene, racially offensive, or of a sexual nature.
